HITL Rules

HITL (Human-in-the-Loop) rules control how much autonomy the AI has. You configure them per team and per action category, meaning your Support team can have entirely different rules than your Sales team.

For a conceptual overview, see Action Plans & HITL.

  1. Navigate to Settings → HITL Rules
  2. Select the team to configure
  3. For each action category, choose an autonomy level:
CategoryDescriptionExamples
SEND_EMAILOutbound email to customersFollow-up, apology, renewal offer
SEND_CHATOutbound message via Omni-WidgetChat responses, proactive outreach
CRM_UPDATEUpdate a field in the connected CRMChange status, add note, update stage
REFUNDAuthorize a monetary refund or creditFull refund, partial credit, discount
SCHEDULECreate calendar events or remindersFollow-up call, review meeting
INTERNAL_NOTEAdd a note to a cardTeam commentary, status updates
ESCALATENotify a manager or create a priority cardRisk alerts, VIP flags

For each category, select one of:

LevelBehavior
AutonomousExecute immediately, log to audit trail
Time BombDraft → start countdown → auto-execute if no intervention
Human ApprovalDraft → wait for human to click Approve
AdvisoryShow recommendation only, never execute

For financial actions (like REFUND), add dollar-based thresholds:

  1. Select the action category (e.g., REFUND)
  2. Click Add Threshold Override
  3. Set the rules:
ConditionHITL Level
Amount < $50Autonomous
Amount $50–$500Time Bomb (24 hours)
Amount > $500Human Approval

Threshold overrides take priority over the default level for that category.

When using the Time Bomb level, configure:

SettingDefaultDescription
Duration4 hoursHow long before auto-execution (1–72 hours)
Reminder at 50%OnNotify when half the time has elapsed
Reminder at 10%OnNotify when 90% of time has elapsed
Final warning1 hour beforeLast notification before execution

  • Start conservative. Set everything to Human Approval initially. Loosen as you build trust.
  • Use Time Bombs for medium-risk actions. They keep things moving without removing human oversight.
  • Keep Advisory for compliance-sensitive actions. Legal notices, pricing commitments, and contract changes should always be human-only.
